Role Summary

The Technical Assistant to the CEO provides operational and program support to the Chief Executive Officer. This role combines executive assistance skills with hands-on programs knowledge, helping the CEO manage schedules, communications, program tracking, and stakeholder engagements efficiently. The Technical Assistant ensures smooth operations for the CEO’s office, supports program coordination, and prepares concise reports and documentation.  

Key Responsibilities

a. Executive Support

  • Manage CEO’s calendar, schedule meetings, and coordinate appointments
  • Assist in preparing briefing notes, presentations, and correspondence
  • Support logistics for meetings, travel, and other CEO-related activities
  • Track follow-ups and action items from CEO meetings

b. Program & Technical Support (Mandatory Experience)

  • Assist program teams in coordinating CEO-related tasks and engagements
  • Track project timelines, deliverables, and reporting deadlines
  • Prepare concise program summaries, updates, and briefing notes for the CEO
  • Support research, documentation, and data collation for programs
  • Ensure program information is organized and easily accessible for decisionmaking

c. Stakeholder Support

  • Coordinate communication between the CEO and internal or external stakeholders
  • Support preparation of materials for donor, partner, and government meetings
  • Track commitments and follow-ups from stakeholder engagements

d. Administrative Support

  • Maintain filing systems and records for CEO office
  • Assist with documentation, reports, and presentations as needed
  • Ensure smooth flow of information and efficient office operations

Key Deliverables

  • Organized CEO calendar and timely execution of commitments
  • Accurate and concise briefing materials and correspondence
  • Updated tracking of program deliverables and action points
  • Smooth coordination with internal teams and external stakeholders
  • Well-maintained CEO office documentation and records

Required Qualifications

  • Bachelor’s degree in Public Health, Social Sciences, International Development, Management, or related field
  • Minimum 2–4 years of hands-on experience in program implementation or program coordination (mandatory)
  • Experience supporting executive management is a plus
  • Strong organizational, multitasking, and time-management skills
  • Excellent written and verbal communication
  • Discretion, confidentiality, and professionalism
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools
