Project Intern

Location: Ekiti Nigeria

Purpose of the Role

The Project Intern provides administrative, program and implementation support to AISID (Ace Initiative for Social Impact and Development)’s program team at the state level. The role supports the coordination and documentation of program activities, maintenance of trackers and records, routine data compilation, stakeholder engagement activities, meeting coordination and preparation of program updates.

The Project Intern will work closely with the Associate, Analyst and State Coordinator to support the timely and effective implementation of assigned program activities. The role provides an opportunity to develop practical experience in program implementation, monitoring and coordination within a health and development environment.

Scope of the Role

The role covers:

  1. Program Implementation Support: Supporting the coordination and execution of assigned program activities.
  2. Monitoring & Tracking Support: Maintaining program trackers and supporting routine monitoring of activities and deliverables.
  3. Data & Information Management: Supporting the compilation, organization and basic quality checks of program information.
  4. Stakeholder & Meeting Support: Supporting meetings, workshops, trainings and routine stakeholder engagements.
  5. Documentation & Reporting: Preparing and maintaining program records and contributing to routine program updates.
  6. Administrative & Operational Support: Providing day-to-day administrative and logistical support for program activities.

Authority

The Intern is authorized to:

  • Support assigned program activities and follow up on tasks delegated by the Associate, State Coordinator or Analyst.
  • Collect, compile and organise routine programme information as directed.
  • Maintain assigned trackers, records and program documentation.
  • Participate in program meetings, field activities, trainings and stakeholder engagements as delegated.
  • Escalate questions, challenges or issues encountered during assigned activities to the appropriate supervisor.

Note: The Project Intern does not independently make program decisions, commit AISID to external stakeholders, approve program activities or represent AISID without appropriate delegation.

Key Responsibilities

A. Program Implementation Support

  • Support the State Coordinator and program team in coordinating assigned program activities.
  • Assist with preparation for trainings, workshops, meetings, field visits and other program activities.
  • Support scheduling, participant coordination, attendance tracking and other routine activity requirements.
  • Follow up on assigned action points and provide updates to the relevant team member.
  • Support the preparation and organization of materials required for program activities.
  • Participate in field activities and provide logistical and administrative support as assigned.

Deliverables:

Activity support records; attendance and participation records; updated action points; and timely completion of assigned program tasks.

B. Monitoring & Program Tracking

  • Maintain assigned program trackers and update them based on information received from program teams and stakeholders.
  • Support the State Coordinator and Analyst in tracking program activities, milestones and outstanding actions.
  • Follow up on routine information required to update implementation trackers.
  • Support the compilation of activity completion information and other routine programme updates.
  • Flag missing information, delays or inconsistencies to the relevant supervisor.

Deliverables:

Updated activity trackers; action trackers; activity status updates; and records of outstanding information or actions.

C. Data & Information Management

  • Support the collection and compilation of routine program information.
  • Enter and organise program data and information in designated tools and databases.
  • Conduct basic checks for completeness and consistency of assigned information.
  • Organise program records and ensure information is stored appropriately.
  • Support the preparation of simple tables, summaries and charts for program monitoring and reporting.
  • Follow established procedures for handling program information and maintaining confidentiality.

Deliverables:

Updated program records and databases; data compilation sheets; basic data summaries; and organized program information.

D. Stakeholder & Meeting Support

  • Support the coordination of meetings and engagements with government, facilities, partners and other program stakeholders.
  • Assist with preparation of meeting materials, agendas, attendance lists and other required documents.
  • Participate in assigned meetings and accurately document key discussions, decisions and action points.
  • Support follow-up on assigned stakeholder actions.
  • Maintain organised records of meetings and stakeholder engagements.

Deliverables:

Meeting materials; attendance records; minutes and action trackers; and updated stakeholder engagement records

E. Documentation & Reporting

  • Support the coordination of meetings and engagements with government, facilities, partners and other program stakeholders.
  • Assist with preparation of meeting materials, agendas, attendance lists and other required documents.
  • Participate in assigned meetings and accurately document key discussions, decisions and action points.
  • Support follow-up on assigned stakeholder actions.
  • Maintain organised records of meetings and stakeholder engagements..

Deliverables:

Meeting minutes; activity summaries; field notes; presentation inputs; program records; and contributions to routine program reports.

F. Administrative & Operational Support

  • Provide administrative support for programme activities and field engagements.
  • Support logistical arrangements for meetings, trainings, workshops and other programme activities.
  • Assist with preparation and distribution of program materials.
  • Maintain assigned administrative records and documentation.
  • Support routine communication and follow-up within the program team.
  • Perform other programme-related tasks assigned by the Associate.

Deliverables:

Completed administrative and logistical tasks; organised program materials; updated records; and timely completion of assigned responsibilities.

Reporting Lines

  • Reports directly to the Associate, AISID, who is responsible for overall supervision and performance management.
  • Works closely with the State Coordinator and Analyst in supporting day-to-day program implementation, tracking, documentation and coordination.
  • Receives task-level guidance from the State Coordinator and Analyst as delegated by the Associate.
  • Coordinates with other AISID team members and relevant stakeholders as required to complete assigned responsibilities

Qualifications & Requirements

Education

Bachelor’s degree or equivalent qualification in Public Health, Health Sciences, Social Sciences, Development Studies, Economics, Statistics, Management or a related field.

Must have completed the National Youth Service Corps (NYSC) program.

Experience

  • Previous internship, volunteer or work experience in an NGO, public health, development or program environment will be an advantage.
  • Experience supporting meetings, trainings, field activities, data collection or administrative activities will be an advantage.
  • Familiarity with programme documentation, reporting or activity tracking is desirable.

  • Proficiency in Microsoft Office Suite, particularly Word, Excel and PowerPoint.
  • Familiarity with digital data collection or tracking tools such as KoboCollect, ODK, SurveyCTO or similar platforms will be an advantage.

Working Conditions

  • Full-time internship role based in the assigned state.
  • The role will involve a combination of office-based work, program coordination and field-level activities.
  • May require participation in meetings, trainings, workshops and field visits.
  • May require travel within the assigned state as required for programme activities.
  • May require flexibility outside standard working hours during major program activities or events.
  • The intern is expected to work under supervision while progressively taking ownership of assigned tasks.
